The Position
A growing, entrepreneurial law firm seeks an Office Assistant. The Office Assistant supports office operations and assists the firm’s principal attorney in managing the office. The Office Assistant is primarily responsible for organizing physical and electronic files, managing incoming and outgoing email and mail, scheduling, client relationships, billing, social media, travel arrangements, maintaining supplies, and other administrative tasks. The successful candidate must be resourceful, organized, discrete with confidential matters, eager to contribute as part of the team, an effective communicator and, able to handle a wide variety of activities, working with minimal guidance. At least two years-experience in office assistance is required, preferably in law firms. Competitive salary, to include bonus, commensurate with experience flexible work location and hours.
The Law Firm
Cassidy Law works with corporate clients to identify and tackle their legal issues in the areas of federal contracting laws, working internationally, and business crimes such as corruption and procurement fraud. The Duties
- Support the firm’s principal attorney in managing office operations and client relationships
- Manage emails and firm calendars
- Assist with opening new matters and billing using a client management database
- Manage the firm’s vendor relationships
- Update the firm’s social media
- Organize and send documents to clients, and government agencies.
- Schedule and organize firm events and make travel arrangements
- Maintain office supplies
- Track attorneys’ required bar registrations and continuing education
- Act as the point of contact between the firm, clients and vendors
- Create and maintain physical and electronic files.
- Take initiative in solving office operation issues
- Maintain confidentiality
- Maintain a supportive, collaborative and positive attitude
- Maintain a professional image and demeanor, acting consistently as a representative of the firm.
The Qualifications
2-3 years working in office administration, office management or as an office assistant, preferably in a law firm
- Experience working with executives or business owners to manage an office
- Ability to communicate clearly in writing and verbally
- Advanced capabilities in using Microsoft Office suit, Word, Excel and Power Point
- Experience using client relationship and billing software
- Effective at writing emails, letters, and short documents using correct grammar and punctuation.
- Excellent organizational and time management skills
- A proactive and conscientious team player
- Demonstrated ability to take initiative, work independently and use good judgment
- Excellent client service skills
- Flexible, can deal with changing priorities in a fast-paced work environment
